IKADA collects only what is needed for bookings, communication, payment, stay support, and the guest register required by Japanese law.
Bookings: name, email, phone, country, dates, guest count, message, and payment IDs. Guest register: every guest's name and address, plus nationality and passport number for guests who do not live in Japan, and arrival time. Contact form: name, email, and message. IKADA never receives or stores card numbers.
To manage and confirm bookings, take payments and issue refunds, send arrival information, respond in emergencies, keep the guest register required by the Hotels and Inns Business Act, and answer enquiries. We never sell or share data for marketing.
Japanese inn law requires us to keep the guest register for three years and to show it to the public health centre or police when they lawfully request it. Entries are deleted after the retention period.
Payments: Stripe (card details are handled by Stripe). Email: Resend. Website and database: Cloudflare (Workers, D1). Bot protection: Cloudflare Turnstile. These providers may process data outside Japan.
Booking records are kept as long as accounting and tax rules require; the guest register is kept for three years.
